MEMBER/NON-MEMBER RATE: When you register, you will receive the rate corresponding to your organization’s institutional membership status. No refunds will be granted if your membership status changes after registration is completed.
ELIGIBILITY: AACC 2025 is an exclusive event, open only to higher education professionals, affiliated councils, think tanks, federal government employees, foundation representatives, corporate entities, and non-profit organizations. We kindly request that no one under 18 attempt to enter the show at any time. This exclusivity is maintained to ensure the event's focus and relevance.
BALANCE DUE PAYMENT OPTION: AACC offers a 'Balance Due' function for the AACC Annual Conference, specifically for individuals from institutions requiring payment by check. It's important to note that you must make payment by the stated deadlines, or your registration will be moved to the next rate. This process ensures a smooth registration and payment process for all attendees.
For the special early-bird rate from October 1 to 31, 2024, the "Balance Due" function will not be enabled. Balance Due will also be disabled during the late registration period, March 1 – 28.
Registrations will remain pending until the balance due is paid. Registrations in pending status may not access features of the Service Centers until payment is received. Any pending registration without payment will be moved to the next registration rate following the event calendar.
INELIGIBLE REGISTRATIONS: All registrations are reviewed to ensure they meet AACC eligibility policies. AACC reserves the right to refuse or cancel all ineligible registrations at any time and shall not be held accountable for any outside fees associated with this cancellation. AACC reserves the right to modify the registration rate for individuals found to have registered at a rate for which they are not qualified.
CORPORATE REGISTRANTS: For-profit companies are not eligible for the 501c3 and 501c6 rate. If you select the incorrect rate and work full-time for a for-profit organization, the registration rate will be updated.
EXHIBITOR REGISTRANTS: If you exhibit at AACC, you will receive complimentary registrations for booth staff based on the package you purchase. The staff you register must be employed full-time by YOUR company. If you register anyone not employed full-time using the complimentary booth staff registration, your company is subject to be removed from the show with no refund.
MEALS: Meals are provided during the convention at the Hail & Farewell Luncheon and AACC Annual Business Meeting, the Awards of Excellence Gala, and the Closing Brunch Honoring Outstanding Alumni and Dale P. Parnell Distinguished Faculty. You must purchase the package, including event tickets, to attend these plenaries. Exhibit hall breaks may offer coffee, light snacks, or ice cream. Some institutions, knowledge committees, and other sponsored groups will choose to host receptions/meetings that may have food and beverages available, but this is not guaranteed.
CANCELLATION: Cancellation of registration must be submitted in writing via email to aaccconvention@aacc.nche.edu. All cancellations must be dated on or before 5:00 p.m. Eastern Time on Friday, February 28, 2025, to receive a refund. A $300 cancellation processing fee will apply to all cancellations except for students or faculty, where a $150 fee processing fee will be applied. No refunds will be granted after February 28, 2025, at 5:00 PM Eastern Time under any circumstances, including but not limited to family and medical emergencies, no-shows, etc. Credits will not be issued for a future year.
Preconvention workshop sessions and meal tickets will not be refunded once purchased.
Check refunds will be issued within 30 days of the request.
SUBSTITUTION: AACC will allow one substitution to a registration record. Replacement of a registered AACC attendee by a business colleague/co-worker is accepted. A $75 processing fee will apply to all substitutions if notified in writing by 5:00 PM Eastern Time on Friday, February 28, 2025. After Friday, February 28, 2025, no substitutions will be allowed. Substitutions must be submitted in writing to aaccconvention@aacc.nche.edu.
PAYMENT: AACC accepts checks and most major credit cards. If you plan to pay by check, the payment must be received by AACC no later than February 28. Beginning March 3, 2025, only credit card payments will be accepted until registration closes on March 28. Registration will not reopen or open onsite.
SPECIAL OFFERS/DISCOUNT CODES: Discount codes are only valid during the initial purchase/registration. They cannot be applied to already reduced/discounted registrations. Limit one (1) unique offer/discount code per registration.
CONSENT TO USE PHOTOGRAPHIC AND VIDEO IMAGES: Registration and participation in AACC meetings and other activities constitutes an agreement by the registrant and AACC that the association can use and distribute the registrant's image or voice in photographs, videos, electronic reproductions, and audio recordings of such events and activities by AACC.
IMPORTANT INFORMATION REGARDING CORPORATE ENGAGEMENT: AACC has instituted new policies that guide corporate engagement with AACC 2024 attendees. Any company sponsor and/or exhibitor with AACC can access the Opt-In Promotion List. Companies attending AACC 2025 that are neither exhibiting nor sponsoring do not have access to the list. They cannot engage with our attendees through hard copy mailings or email or hosting unsanctioned events during the annual meeting. If an attendee receives an unauthorized request from a company not listed as an exhibitor or sponsor, you are encouraged to send a copy of the unauthorized communication to aaccconvention@aacc.nche.edu
If AACC finds that the company violated our policies, they can be banned from future annual meetings for up to 10 years.
